How to use management tags in Farm Focus

Management tags allow you to operate separate business units under the same GST number. They track revenue, expenses, and livestock for different operations, enabling you to view each as a standalone business. Without management tags, all financial data is combined, making it difficult to assess individual operations.

Key differences:

• Management tags track revenue, expenses, and livestock for separate operations.

• Cost tags track costs/expenditures only (e.g. a wool shed extension). Learn more about cost tags.

You can apply management tags consistently using automation tools like coding rules and code split rules.

Setting up management tags

To purchase a management tag:

1. Go to Settings > Tags 

2. Click + Purchase new Management tag, that will take you to the Billing page

3. Select the number of Management tags required. There is a cost associated.

4. Click Confirm. 

5. An invoice will be sent to you for the cost of the Management tag.

To set up your management tag:

1. Enter a name for your tag.

2. Add a short name (ID) (visible when tagging transactions or planned items).

3. Add a description.

4. Choose a colour to help identify the tag.

5. Click Save.

Using management tags in transactions and invoices

Once created, you can allocate a management tag to any coded line in invoices and bank transactions using the Tag column. Each coded line can have only one tag.

Editing a tag allocation:
If a tag is missing or incorrect, you can edit it:

Option 1:

1. Go to Actuals > Completed.

2. Change view to Coded lines.

3. Click into the coded line and add or edit the tag.

TIP: To find a coded line quickly, sort by code order (if you know the code used) or tag order (if you know the tag you want to edit).

Option 2:

1. Go to Actuals > Completed.

2. Change view to Transactions.

3. Click into the transaction.

4. Select Go to matched Invoice.

5. Edit the tag in the invoice’s coded lines.

Using management tags in livestock transactions

You can apply a tag to livestock transactions, which updates your Livestock Reconciliation. Use the Transfer option to move stock between management tags when needed.

Using management tags in planning

Management tags can help you create financial plans for separate operations:

Option 1:

• Filter by a management tag (e.g. Farm 1) and build a plan.

• Filter by another tag (e.g. Farm 2) and build a second plan.

• Remove the filter to view an overarching plan for both farms.

Option 2:

• Create a complete plan and add management tags as needed.

• Use +Add to open a worksheet and allocate tags.

Livestock tags in planning:
When entering planned items in the Livestock worksheet, use a tag to separate stock between operations.

Using management tags in reports

You can filter selected reports by management tags to analyse the performance of individual operations. The following reports support tag filtering:

• Analysis by Code (ABC)

• Cashflow Detail

• Cashflow Summary

• Economic Farm Surplus (EFS)

• Trends

• Variance

• YTD Variance

• Livestock Reconciliation

• Livestock Summary

• Livestock Trading

Purchasing additional management tags

Only a subscription admin can purchase additional management tags.

1. Go to Settings > Tags.

2. Click +Purchase new Management tag

3. Use the arrows to select the number of additional tags.

4. Click Confirm.

Cancelling a management tag

If you no longer need a management tag, you can:

• Cancel the management tag subscription and downgrade to a cost tag.

• Keep the management tag subscription to create a new management tag. The existing management tag will be downgraded to a cost tag and the  management tag subscription can be reused for a different reporting purpose.

Cancelling a management tag:

1. Go to Settings > Tags.

2. Click the three vertical dots next to the tag.

3. Select Downgrade.

4. Choose Cancel the management tag subscription.

To keep the management tag subscription to create a new management tag:

1. Go to Settings > Tags.

2. Click the three vertical dots next to the tag.

3. Select Downgrade.

4. Choose Keep the management tag subscription to create a new management tag.

Editing tags

To edit your management tag settings:

1. Go to Settings > Tags.

2. Click the three vertical dots next to the tag to make changes.

NOTE: You can bulk edit, add, or delete management tags in the Completed screen.

To select multiple items:

• Click the first item, hold Shift, then click the last item in the range.

• Or, use the Select all tick box.
