How to use the Analysis by Code (ABC) report in Farm Focus

Why

The ABC report allows you to analyse specific sections of your actual financial data by grouping transactions by category and extended code. This helps you gain insights into your farm’s financial performance, whether using Payment Date or Accrual View.

Benefits

• Flexible Views: Choose between Payment Date (for paid transactions) or Accrual View (for coded but unpaid invoices).
• Custom Date Range: Select any period, even if it spans multiple financial years.
• Customisation Options: Adjust your view using filters and columns to display the data that matters most.
• Direct Editing: Quickly make changes to coded lines directly from the report.
• Exporting: Download the report as a CSV file for further analysis.

Steps to use the ABC report

1. Access the Report:

   • Go to Reports > Analysis by Code.

2. Select a View:

   • Choose either Payment Date or Accrual View.
   • Set your Custom Date Range.

   NOTE: You can include timeframes that span financial years.

3. Customise Your View:

   • Click the Filter icon (top right) to refine your data by code category, extended codes, bank accounts, or tags.
   • Use the chevrons to expand and select specific codes.
   • Click the View icon to choose columns and display options, including:
     • Additional Notes
     • Rounded Numbers (nearest dollar)
     • Cents Box (to show decimal places)
     • Quantity Display (useful for items like fertiliser)

1. Accountant-Specific View:

   • Select Accountant from the View options to see mapped numeric codes.
   • Red Codes indicate codes that have not been mapped in the Settings.

1. Download and Export:

   • Click the Print icon, then choose Export to CSV for further data analysis.
   • In Financial View, see invoices that are paid, unpaid, or partially paid.
   • In Payments View, view only paid invoices.

1. Edit Directly from the Report:

   • Navigate to an invoice or transaction by clicking on the view icon next to a coded line.
   • Click +Edit to make changes, then save. You will be returned to the report automatically.

TIP:

Use the Accountant View to ensure all numeric codes are correctly mapped, helping streamline reporting and analysis.
