How to add a new code to your Farm Code list

Why:

Farm codes are essential for calculating GST returns, reporting on income and expenses, and maintaining plans. Adding new farm codes ensures your data remains organised and relevant to your business needs.

Steps to Add a New Code to Your Farm Code List

1. Add Codes from a Template in Settings

1. Log into Farm Focus.

2. Click on Settings.

3. Select Codes, then click on Farm Codes.

4. Click the +Add New button on the top left.

5. Choose Codes from template.

6. Choose either Livestock, Horticulture or Crop (Broadacre and Plantation in Australia) and select a template from the list and click Apply.

2. Add a New Category Code

1. Click on the three dots next to the relevant Section code.

2. Select New Category.

3. Enter the Category code (a shortened version of the name).

4. Enter the Name.

5. Select the appropriate GST type (this will be applied automatically, but you can change it if needed).

6. Optional: Apply a tag (this will also be applied automatically).

7. Choose the code type (Income, Expense, Product, or Stock).

   • Income: For regular income codes.

   • Expense: For regular expense codes.

   • Product: For tracking quantities of products (e.g., wool or honey).

   • Stock: Generates both income and expense codes for stock transactions.

8. Select a KPI reporting group for how the code appears in reports.

9. Click Done to save.

3. Add a New Extended Code

1. Click the three dots next to the Category code you want to add an extended code to.

2. Select New Extended code.

3. Follow steps 3-9 from the Category code section to complete the process.

Alternative Ways to Create Codes

a. Using the + Symbol in Farm Codes

1. Click on Settings > Codes > Farm Codes.

2. Click the + symbol at the top right corner.

3. Select whether you want to add a new Section, Total, Category, or Extended code.

4. Follow the steps mentioned above.

This method also allows you to add new sections and totals.

b. Add a New Code While Coding an Invoice

1. Navigate to Actuals > Needs Action and begin coding an invoice.

2. In the coding area, your code list will drop down.

3. At the bottom, select Add a new extended code.

TIP:

For Dairy Farmers—if you’re adding a Milk Production 'Parent Category Code', select the Milk Solids type for this season’s milk production extended code to link to the Dairy Forecaster.
